Rock-Pond launches web based
issue tracking system
One of the critical success factors of software implementation projects is
to have an effective issue tracking system that documents issues and tasks. The system must be readily available and easy to use by the people
working with the system, the vendors providing support and the project management team responsible for the success of the project.
Using the open source vTiger CRM software installed on
our Linux servers, Rock-Pond recently set up a an issue tracking system for one of our large software implementation customers. The screens
were customized and the users trained in about an hour and all issues are managed through the system. Issues can be escalated and reassigned by
simply modifying the issue and replacing the assigned to person. The system is completely integrated with email to notify people when issues are
added or changed. Scheduled Rock-Pond reports are distributed to track open issues by severity and closed issues for the prior week.
Follow up training curriculum changes, retraining and standard process changes are set up as tasks and tracked along with other issues.
The end result is more effective communication, prioritization of work and coordination among the people using and supporting
the system.

Provider Turns to Rock-Pond Solutions to Monitor Payer
Contracts
How many times have you encountered a pricing or billing error only to find out
that the system tables were not set up right. This is one of the most consistent, costly and elusive problem we see on a regular basis.
How do you know your payer contracts are set up right? How do you keep them that way when MAC pricing is changing, AWP (and therefore
calculated list prices) changes and new inventory items are added.
Recently a home infusion provider turned to Rock-Pond Solutions to provide an automated process
to review payer contracts and inventory set up in their system to identify common errors in the pricing and inventory files before
they caused billing problems. Billing is automatically notified every time a new inventory item is added so the appropriate payer
contracts can be updated.

Infusion Reports that give you critical business information from the data you already have.
Utilizing Billing Notes to improve visibility and
productivity
Your home infusion software should have a way to attach notes to claims as well as to categorize them
using a note type or subject line. Creating standard note types, processes to use them and reports to report against them is a very effective
way to zero in on specific A/R issues you are having.
The two reports below were developed for the Healthcare Automation HomecareNet application to identify
claims that are in A/R that have not had a claim note and Pending Claims in A/R based on a pre-defined claim note of "Pending A/R". The first
report quickly identifies claims that are old and not being worked and the second report is an excellent example of how a HomecareNet user has
created a specific billing note type to tag claims that have been produced but for various reasons have not been sent out.

We have a few patients that are using standard drugs (Vancomycin) and some
drugs that are considered specialty drugs (Cancidas). The specialty drug is being denied stating "not a specialty pharmacy". So my
question is; can a home infusion pharmacy also be a specialty pharmacy for Medicare Part D?

Sometimes we get so wrapped up in new communication
technologies that we forget the importance and effectiveness of verbal communication. As email, PDA's and smart phones give us new ways to
communicate at any time and from anywhere we tend to forget how important it is to address certain types of issues with a 2-way technology
(talk,listen,talk,listen,...). How many times have you seen a string of emotion filled emails spanning many days that could have been addressed
in a simple phone call. Don't forget, people (customers, co-workers, referral sources, etc.) don't like to get voice mail, automated attendants
and email when trying to address something urgent, critical or escalating. Sometimes the smartest way to use your smartphone is with your
mouth and ears.
