New at Rock-Pond Solutions

Rock-Pond launches SQL / Crystal Reports Training Service
The best way to learn something is to use it with something you understand to get something you need.  This is especially true of powerful query languages such as T-SQL and reporting tools like Crystal Reports.  The best way to master them is to learn them using your own data to produce reports you can use.  Rock-Pond has released “Crystal Reports for HomecareNet Users” to meet this need for Healthcare Automation customers.  The 3 part course teaches the fundamentals of Crystal Reports using HomecareNet tables in the examples, the HomecareNet data structures and fundamentals of T-SQL commands to access them and working sessions where students build financial and clinical reports with assistance from the instructor.  Courses for other leading home infusion software are will be released soon.

Pete Tanguay to present “Using Technology to Maximize Reimbursement” at NHIA 2008
Information systems and technology are constantly changing, but the fundamental goals of billing and collections remain the same; to present the information about drugs dispensed and confirmed supplies, equipment and nursing services rendered in the correct format to the responsible party in a timely manner and receive prompt payments for these products and services.  Your core information system along with other technologies plays a dominant role in how efficiently you get this done and often whether you achieve these goals at all.  Pete's presentation will address the most common reimbursement mistakes and obstacles and show how to leverage technology to get the maximum benefit from your information system to achieve your reimbursement goals.

Early bird registration for the conference is now open.  Make plans to go to Phoenix March 9-12 for the
2008 NHIA Conference – “Transforming Our Future, Together”.

Customer Case Study:
Home Infusion Provider turns to Rock-Pond to assist with System Security Audits
Assigning the right access privileges to employees, vendors, consultants and others who need access to your patient information is a serious responsibility.  Your understanding of system security setup options and user access requirements and change in the people who need access requires you to have a way to be fully responsible for access rights at all times.

Recently a CPR+ user engaged Rock-Pond Solutions to provide comprehensive reports from their system data to provide the answers to security questions from their internal audit staff.  The company was able to quickly close some “security holes” that existed while implementing an ongoing monitoring plan that met internal audit requirements.

On a related note, Atlanta’s Piedmont Hospital became the first institution in the country to be audited for compliance with the security rules of HIPAA.  See the list of 42 items that HHS officials wanted information on within 10 days

Home Infusion Reports

Reports of the Month

Each month Rock-Solid Intelligence features a report from Home Infusion Reports that give you critical business information from the data you already have.

Payer Contract Analysis reports

How many times have you had a billing (or financial) issue and the “final answer” was “Your payer contracts are set up wrong”?  How about a payer who says they will pay for flushes and then doesn’t so you need to do an impact analysis on booked and future revenue to determine the financial impact on the company?  Competitive bidding – please, not in the home infusion industry.

All of these situations are reasons you need to have reports that keep your payer contracts accurate in an ever changing reimbursement environment.  Here are a few you might need:

Charge Code Audit by Contract within Payer – to analyze the impact of contract changes

Allowable Charge is greater than Billed Price – Correct contracts where your billed price is less than the contract allows – before you send out the bill!

Denial Analysis – Careful review and response to payer denials can help you know when your contracts are not set up properly

System Insights

System Insights

Rock-Pond's mission is to help you maximize the benefit you receive from your information systems.  Each month we provide an insight related to system implementation, resetting an established system, system audits and common system errors.

System Implementation:  Minimizing system change on your customers
Change is hard enough on your staff.  Where possible, make sure you minimize the impact of change on your customers (patients, referral sources, physicians, etc.).  Changes as minor as a new patient number can be troubling to a patient who is keeping
close tabs on their medical information.  For long term patients, don’t underestimate the impact of a new delivery ticket format, new patient statement or a different prescription label.  Change is always an opportunity to communicate and build relationships with people.

Action item:  When you implement a new system or new software release, identify the “customer touch points” and use them to demonstrate your commitment to excellence and customer service

System Audit:  Data mining audit files
With our growing dependence on computers and software, the need to manage activity and resources is growing.  Systems must be available, responsive, accurate and secure.  Fortunately software vendors log events, exceptions, errors and other valuable information in log files that can be used to keep tabs on what is going on and prevent problems before they occur.

Action item:  Make a list of all of the audit logs available from your resource software (SQL Server, network, Internet, email, etc.) and application software to determine ongoing monitoring tasks that will help you identify exceptions and prevent problems.

Technology gives Young Hemophiliac His Life Back Homecare Automation Report

We can get so focused on pharmacy software functionality and data analysis techniques that we forget that technology is making a difference in the lives of the patients we serve.  Tim Rowan, editor of Homecare Automation Report recently reminded me of the great advances in technology that are impacting patients of all ages...

So the nice lady at Medicare said it would be covered   By:  Gary Collins, Professional Reimbursement, Inc.
Have you ever had one of those patients that just would not take, “I’m sorry that therapy is not covered by Medicare” for an answer? Have you ever had a patient like that who was also on the Board of Directors at your local hospital? Well, this week I received a call from an infusion company that was faced with that very scenario.
What did Gary do

NHIA Listserv Lessons -  Huber Needle Changes
I have just received very interesting orders from a vascular Surgeon in Virginia who is ordering a Huber Needle change every 24 hours and at the very most every 48 hours. Has anyone out there heard of such a procedure?  Why would anyone want a port placed if you were only going to get stuck daily anyway?  This physician states that it is manufacturer policy that if an active infusion is not being
continuously run, it should be changed this often!  Any comments?  Read Listserv responses and Rock-Pond Analysis

Technology Tip of the Month

Each month Rock-Solid Intelligence shares a technology tip or software program that has made our work a little easier.

Cross Loop” – Money for nothing and your Webex for free

Now that ain’t working, that’s the way you do it … so it was sung by Dire Straits in 1985 and by me the first time I fired up Cross Loop.  Cross Loop is a free program that installs in less than 2 minutes which allows you to share your computer with anyone on the planet – or help them with theirs, whichever you choose, or switch back and forth.  The biggest question is, how can this be free?  Check it out at http://www.crossloop.com right now.  You’ll be amazed.
