Strive for Simplicity in 2008

With ample time to reflect over the holidays and in the early days of 2008, the need to pursue simplicity became a common theme.  Our world and the technology that drives it is increasingly complex.  Yet, those who are able to harness it to achieve simplicity appear to be the winners.  2008 is off to a quick start so let's work at making things easier. 

Home infusion therapy is a complex mix of coordinating providers, therapies, patients, diagnoses, medications, clinicians and devices that in the end will improve and extend the life of the patient.  Did I mention getting paid?  Getting accredited?  Maintaining regulatory compliance?

So the word for 2008 is "simplify".  Simple means less expensive, more efficient, easier to learn, more reliably duplicated and easier to manage.  But the irony is that we often must implement complex technologies to achieve simplicity.  But the end result doesn't have to be as hard as we make it and somewhere in the balance between complexity and simplicity lies the right solutions for your business.

Eliminate and consolidate - Keys to Simplicity

How many times have we had to be reminded to focus on the fundamentals for the best results?  Reading, writing and arithmetic.  Blocking and tackling.  Keeping your eye on the ball.  The 80/20 principle.  It's easy to forget the basics as we learn more advanced aspects of our work and our play.

We live in a rapidly changing world.  Over time, we adjust to change by making adjustments to address things that are new and unfamiliar.  The end result can be an inefficient process that must be reworked to address where we've ended up.  This is true of companies who have grown through acquisition, expanded to new service venues and added new therapies to their mix. 

Ask these two questions:  What can I eliminate and what can I consolidate?  It's great to convert your paper charts to a document tracking system.  It's even better to eliminate the paper you don't need before you do so.  Take a look at the questions you're asking, the steps you are taking and the information you are gathering during a new patient intake.  Eliminate 2 questions, 1 step, and 5 pieces of information in the intake process that are not needed.  Then do the math to calculate the improvements in efficiencies and dollars saved.

How many home infusion employees does it take to...?  Take a look at your processes and when there are too many people involved to get a task done it will lead to mistakes, miscommunication and well, complexity.  Consolidating key tasks will eliminate the gaps in communication and coordination that lead to so many errors and inefficiencies in home infusion therapy.  Take the month end close for example.  How could you simplify your chart of accounts, eliminate reports that are not being used and reduce the steps necessary to close each month to make this time simpler.

Simplify your billing process by limiting the vendors through which you send your claims and then document the process for consistency throughout your organization.  Often payers request that you bill through one vendor (of their choice).  However, before jumping through hoops to accommodate, be sure your primary vendor (ie:  Zirmed) can send on your behalf.  Keep in mind that the vast majority of your claims will be paid the first time if they are “clean” and sent in the correct format (electronic or paper) for that payer.  If you have a good relationship and trust with one vendor, this is a good time to simplify and “put all your eggs in one basket”.  Good luck!
